Step 1: Define the product specification
Start with product name, botanical name, form, cut size, grade, target moisture, destination country, packaging preference, quantity, and required certifications. Clear specifications prevent delays.
Step 2: Request sample and documentation
Review a sample before a bulk order when possible. Ask for available COA, certificate copies, product photos, packaging options, and estimated lead time.
Step 3: Confirm freight and Incoterms
Sea freight is best for large-volume orders, while air freight is useful for urgent or smaller shipments. Common terms include FOB Egypt, CIF destination port, CFR, and EXW.
Step 4: Prepare customs documents
Common documents include commercial invoice, packing list, bill of lading or airway bill, certificate of origin, phytosanitary certificate, health certificate, fumigation certificate if required, and certificate of analysis.
